How to Switch Detailing Software Without Losing Customer Data

Switching software should reduce operational friction, not create a data emergency. Protect the relationships between customers, vehicles, jobs, estimates, invoices, photos and future appointments before you cancel the old system.

The short answer

Do not switch CRMs by exporting everything on Friday night and hoping the new system works Monday morning. Treat migration as an operational project: inventory → clean → export → map → test → cut over → verify → keep the old system read-only.

The biggest risk is not only “losing contacts.” It is losing relationships between customers, vehicles, future appointments, open estimates, unpaid invoices, service history, photos and notes.

Before you choose the replacement, inspect portability

Ask every vendor what it can import, what it can export, whether vehicles remain linked to customers, whether historic jobs/quotes can move, how photos/documents are handled and whether onboarding help is available.

1. Inventory your data

  • Customers and contact preferences.
  • Vehicles and vehicle-specific notes.
  • Future appointments and recurring work.
  • Open estimates/quotes.
  • Open or unpaid invoices.
  • Completed service history.
  • Photos, inspection forms and damage records.
  • Packages, services, prices and deposit rules.
  • Staff, permissions and assigned work.
  • Automations, reminders, templates and integrations.

Classify each item as must migrate, can archive, or can rebuild. This prevents wasting hours moving obsolete data just because it exists.

2. Clean before exporting

Duplicate customers, inconsistent phone formats, old test records and free-text vehicle names make migration harder. Clean the source first. Preserve a raw backup before editing anything.

3. Prove you can export

Do a sample export before cancellation. Jobber's current help center documents CSV client export and CSV client import; its September 2026 documentation also describes CSV job import as a beta feature. Urable's pricing page says customer lists and product/service lists can be imported and that data can be exported for use outside Urable. OrbisX advertises Excel/CSV import/export and a Premium Setup service that can handle customer details and service-history imports when switching from another CRM.

4. Map fields before the real import

Do not assume two fields with similar names mean the same thing. A generic field-service CRM may model properties, while a detailing CRM may model vehicles. Test the relationship, not just the column labels.

5. Run a pilot with real records

Import a small, representative sample: repeat customer with two vehicles, a future appointment, an open estimate, a completed coating job, photos and notes. Then run the real workflow from lead to payment.

6. Choose a cutover point

Pick a date when new leads and bookings begin in the new system. Avoid running both CRMs as equal systems of record for weeks; that creates duplicate and conflicting information. Keep the old system read-only for reference instead.

7. Verify the business-critical totals

  • Number of active customers.
  • Future appointments.
  • Open estimates.
  • Unpaid invoices.
  • High-value repeat customers.
  • Customers with multiple vehicles.
  • Recent coating/PPF/warranty records.

Spot-check records manually. A successful CSV upload is not the same as a successful operational migration.

Current migration support worth knowing about

OrbisX: its Premium Setup page explicitly asks which CRM you are switching from and whether you want records imported; it says the service can import customer details and service history. Its standard feature pages also list Excel/CSV import/export.

Urable: its pricing page says customer lists and product/service lists can be imported, including through QuickBooks integration, and that data can be exported to outside systems.

Jobber: its help center documents CSV client import/export and, as of September 2026, a beta CSV job-import workflow.
